Registration rules and cancellation policy
- The only way to be registered for the meeting is through the completed registration form, either the printed version published as a supplement of the printed Second Announcement, or on-line on www.revma.cz/cecr08. Registration is only regarded valid when the organizer has received the completed registration form and the registration fee of the applying participant.
- In case of on-site registration (registration after 30th April 2008, or registration in person, in the conference centre within the running hours of the registration desk), an additional fee of € 20,- will be added to the relevant registration fee.
- Admission to the scientific, social, and accompanying programmes of the meeting is only possible with a participant’s registration badge. The registration badge is personal, non-delegable. Each registered participant will receive their badge upon their accreditation at the registration desk.
- The organizer reserves the right to accept in the scientific programme only those applications and presentations delivered in such a way and format given in the Second Announcement.
- It is only possible to use the congress and audio-visual equipment provided by the organizer of the meeting within the scientific programme. The participants are obliged to send their individual requirements regarding the congress and audio-visual equipment along with submitting their application for active presentation.
- Only those participants who have included their current e-mail address in the relevant registration / application form will receive in writing the confirmation of the delivery of registration / application form, or the confirmation of accommodation reservation etc.
- The professional organizer and the local organizer reserve the right to additionally adjust the prices with regards to the changes in VAT rates arisen due to the new general rules and decisions of the government of the Czech Republic, made effective on dates relevant to the event deadlines
Payment conditions
All prices given are in EUR (€). Kindly pay the respective amount in accordance with the Payment Order which will be issued and sent to you upon the delivery of your registration and hotel booking form. The payment is regulated by the general conditions and deadlines stated below. In case of bank transfer please send by post to the address of Congress Prague or to the fax number +420 241 445 806 a copy of the remittance receipt for the payment with your name and address indicated or else, please use the number of the respective Payment Order as the variable symbol for easier payment identification.
All payments must be net of all charges; all bank charges applied during the payment of the registration fee, reserved accommodation, or other services reserved through this form are to be paid by the payer.
In case of credit card payment, the bank Komerční banka charges an extra fee amounting to 3% of the total amount.
No cheques are accepted.
Cancellation conditions
- In case of a cancellation of a valid registration or accommodation reservation before 15th March 2008, a handling fee of € 20,- will be charged. No other cancellation fee is applied.
- In case of a cancellation of a valid registration or accommodation reservation before 15th April 2008, a cancellation fee of 50% of the price of the reserved and cancelled services will be applied.
- In case of a cancellation of a valid registration or accommodation reservation and other reserved services after 15th April 2008, a cancellation fee of 100% of the price of the reserved and cancelled services will be applied. No refunds of payments for any services will be possible after this date.
- A cancellation of a valid registration or an accommodation reservation or other services reserved must be made in writing (by e-mail, fax, or post) to the address of the professional organizer: Congress Prague, Ltd., Nad Obcí I/24, 140 00 Prague 4, Czech Republic, fax: +420 241 445 806, e-mail: office@congressprague.cz or jana.jirku@congressprague.cz, jana.krausova@congressprague.cz. The actual date of delivery of such written notice to the professional organizer is to be regarded the exact and effective cancellation date.
- In case of a cancellation of a valid registration or an accommodation reservation or other services reserved in accordance with these cancellation conditions, the professional organizer has the right to charge the respective cancellation fee against the already reimbursed price of the valid registration and of the reserved hotel accommodation or other services. The reimbursed deposits, cancellation fees and refunds will be settled by the professional organizer after the closing of the meeting, within two weeks after the end of the event.

Official Letter of Invitation
Requests for letters of invitation must be sent to Congress Prague not later than 15th April 2008.
Requests received after this date will not be accepted. The issued letters of invitation are meant
only to assist participants to raise travel funds or to obtain a visa and there is no responsibility
on the part of the organisers to provide any financial support.
Passport and Visa
Visitors from the countries of the European Union must have an identity card or a valid passport when travelling to the Czech Republic; in case of visitors from other countries, a valid passport is required. Visitors requiring a visa should apply to the consular offices of the Czech Republic or diplomatic missions in their country.
Insurance
The organising institute or the professional organiser of the meeting will not be responsible for losses, damages, health injuries and problems, damage to personal property, or other contingencies, which may afflict the participants during their journey or their stay in Prague. Therefore, we recommend that you arrange for yourselves personal and travel insurance for your journey and stay in the Czech Republic, which would eliminate possible consequences of such unpleasant contingencies.
Health Documents
There are no special health certificates required when travelling to the Czech Republic. However, it is important to have necessary health documents with you in case of an illness or medical treatment.
Traveller’s Cheques and Credit Cards
Traveller’s cheques are not widely accepted in the Czech Republic. Stores and restaurants will generally not accept them. Such credit cards as Visa, MasterCard, Diners Club and American Express are widely accepted in hotels, department stores, shops, restaurants, etc.
Banking
The official currency in the Czech Republic is the Czech Crown (Kč, CZK), 1 Kč (CZK) = 100 hellers ( haléřů). At the time of preparation of the meeting (17th October 2007) the exchange rate €/CZK is 1 € = 27,525 CZK (Czech National Bank). Banks are usually open Monday – Friday, 9.00 a.m. – 5.00 p.m. On Saturdays and Sundays, money can be exchanged at the airport, at exchange points located in the city, and in hotels.
Electricity
Electrical supply in the Czech Republic is 220 V – 50 Hz AC.
Consumption Tax
There are two rates for consumption tax in the Czech Republic. Most of services include 5% consumption tax; however, when purchasing goods and other things, the consumption tax mostly represents 19%. The salesmen are always obliged to issue you a receipt with price and an individually marked consumption tax rate.
The organisers of the congress cannot be held responsible for changes in prices due to increase in government taxes.
Prague City
Prague is the capital of the Czech Republic; majority of the central governmental institutions and offices are situated there. Prague is a significant historical spot in Central Europe and one of the most beautiful European cities. During the meeting you will have an opportunity to join several tours of Prague as well as of other significant places in the Czech Republic.
Climate and Clothing
May in Prague usually brings along sunny and warm weather of late spring with temperatures above 18 - 20°C.
Time Difference
The Central European Time (CET = GMT+1) is valid in the Czech Republic and from the end of March until the end of September summer time is set.
Easiest Access to Prague
The simplest and fastest way to get to Prague is to arrive by plane at the international airport Prague – Ruzyně. We will safely and comfortably transport you to your hotel in Prague (10 -30 min) and back to the airport after the congress if you decide to reserve our transfer services through the registration form. The vehicles for transfers will be well marked. There will be an Information Point for congress participants directly at the airport providing information and help. Prague – Ruzyně airport is connected with all the important cities and flight junctions around the world through Czech Airlines (CSA). All significant airlines run flights to Prague.
Other Access to Prague
Prague is also accessible by train. International train connections coming to the Czech Republic arrive at Prague Central Railway Station. If you make the reservation through the registration form, we will secure our transfer to your hotel in Prague from the station. Should you need more information, please do not hesitate to contact us.
Parking
If you decide to travel to Prague in your own car, please let us know as soon as possible. As in other large European cities, it is quite necessary to arrange safe and comfortable parking in Prague well in advance.
How to Get to the Congress Hotels in Prague
Hotel Diplomat Prague, which is the official hotel of the congress, is situated close to the historical centre of Prague and provides services matching the high international standard. Within the hotel, there is a congress centre where all the activities and events of the congress programme will take place. The other hotels for accommodation of the participants in congress listed in the List of Hotels have been chosen for their convenient accessibility and good quality level of services offered. They can be easily reached by public transportation or walking from the Diplomat Hotel and are situated in the centre of Prague.
