Registration rules and cancellation policy

General conditions

  1. Registration Registration is possible only through the on-line registration form. After submitting the on-line registration form a summary of registration details will be send to registrant´s e-mail address. Please make sure you enter your e-mail address correctly in the registration form.
    • NB. Registration is only regarded valid when the organizer has received the full payment from the registrant. A confirmation of payment will be sent to registrant´s e-mail upon receipt of payment in full. If the full payment has not been received before the deadline indicated, the registration fee will be increased according to the payment period.
    • Each registrant must fill in a separate on-line registration form.
    • In case of on-site registration (on-line registration after October 1st 2019 and later or registration in person at the registration desk), an additional fee of € 6 will be added to the relevant registration fee.
  2. Name badge
    • All participants are requested to wear their name badges throughout the congress. Access to the congress venue will not be granted without the name badge. The name badge is personal, non-delegable. Each registered participant will receive their name badge upon his / her registration at the registration desk.
    • All participants are asked to contact the registration desk immediately in case of loss of their name badge.
  3. It is only possible to use the congress and technical equipment provided by the organizer of the meeting within the scientific programme. The participants are obliged to send their individual requirements regarding the congress and technical equipment along with submitting their Application for active participation.
  4. The professional organizer and the local organizer reserve the right to additionally adjust the prices with regards to the changes in VAT rates arisen due to the new general rules and decisions of the government of the Czech Republic, made effective on dates relevant to the event deadlines.

Payment conditions

  • All prices given are in EUR (€).
  • Kindly pay the respective amount in accordance with the Payment Order which will be issued and sent to your e-mail address upon the delivery of your registration (and hotel booking) form. The payment is regulated by the General Conditions and deadlines stated below.
  • In case of bank transfer please use the number of the respective Payment Order as the reference number for easier payment identification.
  • The professional organizer reserves the right to require under certain circumstances the registrant to send a copy of the remittance receipt for the payment with his / her name and address indicated by post to the address of Congress Prague or to the fax number +420 241 445 806.
  • All payments must be net of all charges; all bank charges applied during the payment of the registration fee, reserved accommodation, or other services reserved through on-line registration form are to be paid by the payer.
  • No cheques are accepted.

Cancellation policy

  • In case of a cancellation of a valid registration or accommodation reservation before September 15th 2019, a handling fee of € 10 will be charged. No other cancellation fee is applied.
  • In case of a cancellation of a valid registration, accommodation reservation or any other reserved services before September 30th 2019, a cancellation fee of 50% of the price of the reserved and cancelled services will be applied.
  • In case of a cancellation of a valid registration, accommodation reservation or any other reserved services after October 1st or in case of a no-show, a cancellation fee of 100% of the price of the reserved and cancelled services will be applied. No refunds of payments for any services will be possible after this date.
  • A cancellation of a valid registration, accommodation reservation or any other services reserved must be made in writing (by e-mail, fax, or post) to the address of the professional organizer:

    NB. The actual date of delivery of such written notice to the professional organizer is to be regarded the exact and effective cancellation date.
  • In case of a cancellation of a valid registration, accommodation reservation or any other reserved services (except for transfer services) in accordance with these cancellation conditions, the professional organizer has the right to charge the respective cancellation fee against the already reimbursed price of the valid registration and of the reserved hotel accommodation or other services. The reimbursed deposits, cancellation fees and refunds will be settled by the professional organizer after the closing of the congress, within two weeks after the end of the congress.
